Square Appointments vs AppFlow: Card Reader First, or Business First?

Square Appointments is excellent if the counter is the centre of your business. AppFlow assumes the booking is, and builds the website, marketing and customer record around it.

Square Appointments comes at scheduling from the till. If you already take payments on Square hardware, it is the path of least resistance: bookings, payments and sales in one account, with hardware that works.

AppFlow comes at it from the booking. Everything — website, deposits, reminders, customer record, marketing, memberships — hangs off the appointment. Here is where each shape suits.

Where Square Appointments wins

  • You have a physical counter and Square hardware already
  • Walk-ins and retail sales are a large share of revenue
  • You want POS, inventory and bookings under one login and one payment relationship
  • Your scheduling needs are straightforward and staff-led

For a shopfront barber or a nail bar with a busy till, that integration is worth a lot.

Where it stops short

The website is still missing

Square gives you a booking site of sorts, but not a real website you own on your own domain, with service pages that rank, a blog, forms and per-page SEO. Most businesses end up paying separately for that, and now the two systems know nothing about each other.

Payments are tied to one processor

Bookings and payments are the same relationship. If you want to keep your existing Stripe account, negotiate rates, or move processors later, that is not a small change. AppFlow connects to your own Stripe *or* Square account, so you keep that choice — and if you love Square hardware, you can keep it and still run the rest of the business on AppFlow.

Field and mobile work is not the model

Service areas by postcode or radius, travel-aware scheduling, job photos and checklists on site, and route planning for a crew are a different sport to a chair in a shop. Detailers, cleaners, mobile trades and hire businesses feel this immediately.

Marketing depth

Reminders exist. Segmented win-back campaigns to clients who have not booked in eight weeks, automated review requests timed to the end of a job, membership plans with a credit ledger — that is a bigger toolkit, and it is where repeat revenue comes from.

The test

Is the centre of your business the counter, or the calendar?

If customers walk in, buy things, and occasionally book, stay close to your POS. If the day is booked in advance, runs across staff or vehicles, and lives or dies on deposits and follow-up, you want the booking platform to be the system of record — and the till to plug into it.
