Wix vs AppFlow: Which Should a Service Business Actually Use?

Wix builds you a website with bookings bolted on. AppFlow is a booking platform that ships a website. For businesses that sell time, that difference decides the outcome.

Wix is a website builder that learned to take bookings. AppFlow is a booking platform that ships a website. Both end up with a page where a customer can pick a time, so on a features list they look similar. In daily use they are not, and the gap shows up in the parts of the week that cost you money: no-shows, deposits, rebooking, and the admin nobody is paid to do.

We build software in Townsville, and AppFlow is ours, so treat this as a comparison written by an interested party — one that is going to be specific enough that you can check every claim.

What each one is, underneath

Wix is a drag-and-drop site builder with an app ecosystem on top. Bookings, payments, email marketing and loyalty each arrive as a Wix app, on higher plan tiers, configured separately. The site is the product; everything else attaches to it.

AppFlow starts from the appointment. Services, durations, buffers, staff hours, deposits and the customer record are the core of the system, and the website is generated around them. Add a service and it appears on the site, the booking page, the embed and the reminder emails at once, because they are all reading the same record.

Where Wix genuinely wins

Be fair about this. Wix is the better answer when:

  • You want fine-grained control over how every page looks, and you enjoy that work
  • Your site is mostly a portfolio, a menu, or a brochure and bookings are incidental
  • You need an unusual mix of third-party apps that happen to exist in the Wix marketplace
  • You already have a Wix site your customers know and no appetite to move it

There is nothing wrong with a Wix site that gets a plumber found and calls a phone number. If that is what you need, stop reading and keep it.

Where it starts costing you

The pattern we see when businesses call us is consistent.

Bookings sit on top of the site, not inside the business

Wix Bookings knows about a calendar. It knows much less about how your day really runs — travel between mobile jobs, the buffer you need between a colour and a cut, the two-hour lead time before someone can grab a slot, the fact that only one of your three staff can do the ceramic coating. When the software cannot express those rules, staff go back to manually confirming every booking, which is the job you were trying to remove.

Deposits are an afterthought

Most no-shows stop when money changes hands. That means per-service control: no payment for a quote, a deposit for a detail, full payment for a class, and a held bond for a hire. If your platform treats payment as one global setting, you end up taking nothing.

The follow-up never gets built

The revenue in a service business is in the second visit. Reminders, thank-yous, win-backs for the customer who has not been in for eight weeks, and a review request timed for the moment someone is happiest — those are marketing jobs your site cannot do. On Wix they are another app, another subscription, another integration to keep alive.

You end up with a stack

Site plan, bookings tier, email marketing app, forms app, maybe a separate scheduling tool your staff actually like. Each one is small. Together they are a monthly number nobody has added up, and four places a customer's details are half-correct.

What AppFlow does differently

AppFlow is one system, so the parts know about each other.

  • Availability that matches reality. Staff hours, service durations, buffers, lead times and booking windows are checked before a slot is offered, so the calendar you see is the day you can actually work.
  • Payments through your own account. Connect your own Stripe or Square account: deposits, balances and refunds settle straight to your bank. We never hold your money.

  • The back office. Team calendars, timesheets with Xero payroll export, a product shop with pickup at the next appointment, multi-location and service areas, and route planning for mobile crews.

The money

AppFlow is $39/month for the site and booking page, $59 with the management app, $99 for team calendars, CRM and website embeds, and $169 for multi-site with the marketing hub. No setup fee, no lock-in, prices in AUD, card processing fees separate.

Wix pricing depends on the plan tier and which apps you add. The honest comparison is not sticker against sticker — it is your total: site plan, plus bookings tier, plus whichever marketing and forms apps you have collected, plus the hours someone spends stitching them together.

You do not have to choose today

If you like your Wix site, keep it. AppFlow embeds the full booking flow inline on an existing site — no iframe, no style clashes — or gives you a hosted booking link you can share and print as a QR code for the counter. Plenty of businesses start that way, then move the site across at renewal once they trust the bookings.

The decision test

Ask what your website is for.

If it is a place to be found, judged, and phoned, a builder is fine and Wix is a good one. If it is supposed to fill a calendar, take money, remember customers and bring them back, you want a platform where those are the core, not the add-ons.
